proposed starting point: order overview

The challenge

What was going on

A bathroom quote can contain dozens of components. During our visit, Kling described a large order involving thirteen suppliers, each with its own items, confirmation and delivery date.

The existing workflow uses Access, Outlook, supplier webshops and paper. Order numbers and delivery dates are copied and followed up manually. The opportunity report asks how this can scale without adding more administration.

Our approach

How we tackled it

We mapped the existing workflow and documented eighteen possible improvements. The system below is a conceptual interpretation, not a delivered CRM/ERP.

  1. Start with open orders

First, one overview of ordered, confirmed and received items, with a purchasing sheet per order.

  2. Keep what works

The calendar, bundle prices and double-check remain design requirements. Connecting to Access needs a technical assessment first.

  3. Expand in stages

Confirmations, product data and quote follow-up could follow. The agreed scope determines the next steps.

The proposed system

How the workflow could connect

01 / 04

Quotes and product knowledge

Proposed: search products by description, reuse custom items and let office staff prepare quotes for the adviser to check.

02 / 04

Purchasing and suppliers

Proposed: supplier-specific order lines, one purchasing sheet and imported confirmations. Ordering through supplier webshops remains possible.

03 / 04

Delivery and scheduling

Proposed: open orders with status, alerts for changed delivery dates and collection records for partial deliveries.

04 / 04

Calendar follow-up

Proposed: checklists and reminders in the existing calendar. Reviews and delivery photos are possible later additions.

Where it stands

The concrete output so far is the opportunity report: a documented workflow, eighteen opportunities and a proposed first step.

The CRM/ERP described here is in development based on the opportunity report. There are no measured savings or operational results. This concept case shows how we turn a business process into a possible solution.

Start where an order becomes hard to track. Keep the workflow that works for the team.
