What it does

What it reads

Notes, documents, CRM records, and knowledge articles someone has confirmed. Email selectively: a shared thread yes, a personal one only the subject. Phone and team chat are off by default.

What it does not see on its own

SharePoint, Drive, ERP, WhatsApp and an ATS. We connect those when the scan points to one process that lives there. We have built that kind of connection in other work. They are not part of Company Brain.

What we get asked

Is this just ChatGPT on our documents?

No. A chat window without permissions and without a source is a search engine with extra steps. Company Brain keeps track of who may see what, and names the source. Agreed work in your own systems we do only for the workflow from the scan — or it does not.

Does this replace Microsoft Copilot or Google Gemini?

No. Those tools help inside their own environment. Copilot stays inside Microsoft. Company Brain answers from the sources you designate, with one permission set. Often both stay in place. A next step in another system is a separate workflow, not the chat.

Do our existing systems stay?

Yes. We connect what is already there, and only what this process needs. This is not a new ERP and not a migration in order to use AI. What is not connected is not searched.

Who owns the data and the setup?

You do. We do not train a model on client data unless that is explicitly agreed. Search uses embeddings; that is not training. What goes in, what may come out, and how long it is kept, is set down in the data processing agreement.

What if it is wrong?

Then that has to be visible. Answers carry a source; without evidence it says it does not know. A workflow we build sends nothing outward without the approval you agree. That is not an extra option, it is the condition.

How long before someone gets something out of it?

The scan is a matter of days. Launch is thirty days to one workflow in production with a pilot group. Extra sources or a second agent we build when there is a reason to, not as a larger consultancy engagement.

What does it cost?

That depends on sources, permissions and the first workflow, and that differs per company. We are not going to guess it here. The scan produces those three things, and after that you know what it is and what it costs.

When is this the wrong choice?

If you want a chatbot with no process behind it, if nobody owns the work, or if the data has no API or folder anywhere. An agent that already updates the ATS and already sends mail is a build after the scan, not a switch. Then we say so, and point to something smaller.
